How to Get AI Sales Coaching on Your Fireflies Meetings

You already record every sales call with Fireflies. Here's how to layer AI coaching, talk-time analytics, and CRM activity on top — without changing your video stack.

Fireflies is a great notetaker. It sits in your Zoom, Meet, or Teams calls, records the audio, and gives you a clean transcript with a summary and action items. What it does not do is coach the rep, score the call against your team's rubric, or write the follow-up back into your CRM in the shape a sales manager actually needs.

That is the gap Salescadia's Fireflies integration closes. Every meeting Fireflies transcribes lands in Salescadia and gets the sales-specific analysis a notetaker does not do — AI coaching, talk-time analytics, and a logged CRM activity on the right contact.

Why layer coaching on top of a notetaker, instead of replacing it?

Because the ROI is in the analysis, not the recording. Fireflies handles capture well and cheaply. Ripping it out to move onto a coaching platform that also records is a full-team change management project that most heads of sales do not have the appetite for. The wedge is: keep your meeting stack, add the intelligence layer on top.

  • AI summary — key points, buying signals, objections, next steps, sentiment trajectory.
  • CRM activity — logged on the matching contact and any attached deal, with a shortlist of suggested follow-up tasks and draft follow-up emails ready to send.

All of that lands under a Fireflies badge in the contact's recording list so its source is obvious.

How to set it up

It is a bring-your-own-key integration — no marketplace app, no waiting for approval.

  1. In Fireflies, open Settings → Developer settings and copy your API key. (This requires a Fireflies Business plan; Free and Pro do not expose the API.)
  2. In Salescadia, open Settings → Integrations, find the Fireflies card, paste the key, click Connect. Salescadia verifies it against Fireflies before saving.
  3. Salescadia shows a webhook URL unique to your workspace. Copy it and paste it in Fireflies under Settings → Developer settings → Webhooks. Save.
  4. Click Import all my meetings once to bring in your past history.

What about the meetings you already have?

The Import all my meetings button pulls your entire Fireflies history in 25-meeting batches. Already-imported meetings are skipped instantly on retry, so you can close the tab mid-import and re-click safely. A history of a few hundred meetings takes a couple minutes. You keep using the rest of Salescadia while it runs.

That backfill matters because coaching is a data problem. The more calls the model has seen from your team, the sharper the per-rep patterns get. Starting with just the meetings that arrive after today would leave months of signal on the table.

Every meeting Fireflies transcribes is one Salescadia can analyze. If your Fireflies account has a year of past calls, that's a year of coaching your team never had.

When you would not use this

  • Free/Pro Fireflies plans — the API is Business-only. If you are on a lower tier, the direct-record option (Salescadia's native video) is a better path.
  • You already coach every call by hand — if a manager listens to every call and writes structured feedback in the CRM, the marginal gain is smaller. Most teams do not, and the ones that do usually stop after the first busy quarter.
  • You do not use a CRM — the biggest lift here is that meeting activity lands on the contact and the deal automatically. If you do not have that hook to hang analysis on, you are getting only half the value.

What comes next
