How to Get AI Sales Coaching on Your Fathom Meetings

Fathom records and summarizes your calls for free. Here's how to layer AI coaching, talk-time analytics, and CRM activity on top — in one click, on any Fathom plan.

Fathom might be the most-loved free product in the meeting-notetaker category. It joins your Zoom, Meet, or Teams calls, records them, and hands you a clean summary — without charging you for the privilege. What it doesn't do is coach your reps, score calls against a rubric, or push structured activity into your CRM.

That's the gap Salescadia's Fathom integration closes. Every meeting Fathom transcribes lands in Salescadia and gets the sales-specific analysis a notetaker doesn't do — AI coaching, talk-time analytics, and a logged CRM activity on the right contact, with the follow-up already drafted.

The one-click part is not marketing copy

Most integrations in this category have a setup dance: generate a key, paste it here, copy a webhook URL, paste it back there, pick the right event subscription, save twice. Our Fireflies integration works that way because Fireflies' API requires it.

Fathom's API lets us do better. When you paste your Fathom API key and click Connect, Salescadia registers the webhook on your Fathom account programmatically. There is no URL to copy back, no event checkbox to find. The card confirms "Webhook registered on Fathom" and you're live. The whole setup is one paste and one click.

What every Fathom meeting gets

When Fathom finishes processing a call, it notifies Salescadia and delivers the transcript in the same payload. Salescadia matches the meeting to a rep and a prospect from the calendar invitees — Fathom flags which attendees are external, which makes this matching unusually reliable — and runs the same analysis Salescadia's native video calls get:

  • AI coaching score — overall + per-dimension (drive, composure under pushback, listening, objection handling, selling style), with named wins and misses. The rubric is the one we describe in what to listen for in a sales call.
  • Talk-time analytics — talk ratio, question count per side, interruptions, response latency, filler words, rapport score.
  • AI summary — key points, buying signals, objections, competitor mentions, next steps, sentiment trajectory.
  • CRM activity — logged on the matching contact and any attached deal, plus suggested follow-up tasks and a draft follow-up email.

Every imported meeting carries a Fathom badge in the contact's Recordings list, so you always know where a call came from.

Why coaching coverage is the point

A manager who listens to two calls per rep per week is coaching about 10-15% of the team's conversations. The other 85% is where new reps cement bad habits and where deals quietly stall. The gap between reps is not small: in the MedLeague case study, the best rep closed 60.9% and the lowest 30.6% on the same leads and product — a 30-point measured gap across 2,420 meetings.

You cannot close a gap you only observe 15% of the time. Automated per-call scoring at 100% coverage is the unlock, and if Fathom is already in your meetings, the recording half of the problem is already solved.

Import your whole Fathom history

The connect card has an Import all my meetings button. It walks your entire Fathom history page by page and analyzes each meeting — your past quarter of discovery calls becomes a coached, searchable, CRM-linked record in a few minutes. Already-imported meetings are skipped instantly, so re-clicking (or resuming after closing the tab) is always safe.

Fathom's API works on every plan — including Free. This is the rare integration you can try end-to-end without upgrading anything on either side.

Setup, start to finish

  1. In Fathom, go to Customize → API Access and copy your API key.
  2. In Salescadia, open Settings → Integrations → Fathom, paste the key, click Connect.
  3. Click Import all my meetings.
