How to Analyze Otter.ai Sales Calls for Coaching (What Actually Works Today)

Otter records your sales calls; here's how to get AI coaching and CRM analysis on them today, what Otter's new Enterprise API changes, and what to do on other plans.

Otter.ai is one of the most widely used meeting notetakers, and if your sales team runs it, you have a growing library of transcribed calls — and probably a nagging sense that nothing downstream is happening with them. No coaching scores, no CRM activity, no follow-up drafts. Just transcripts.

This post is the honest map of what you can do about that today, because the answer depends on your Otter plan — and one widely-cited claim about Otter ("it has no API") recently stopped being true.

The news: Otter now has a public API — with a big asterisk

For years, the standard line was that Otter offered no official API. That changed: Otter now documents a Public API with conversation, transcript, and speaker data, plus Workspace Webhooks that push a notification when a transcript is ready.

The asterisk: it's Enterprise-workspace only, and in beta. If you're on Otter Basic, Pro, or Business, the API is not available to you — and Enterprise access typically goes through an Otter account manager.

What Otter users can do in Salescadia today (any plan)

You don't need Otter's API to get a call analyzed. Salescadia's contact pages accept a pasted transcript: open the contact, go to Recordings, choose Upload → Transcript, paste the Otter transcript text, and pick a source. The call gets the same analysis pipeline our native and notetaker-integrated calls get:

  • AI summary — key points, buying signals, objections, next steps.
  • AI coaching score — overall + per-dimension, on a consistent rubric.
  • Talk-time analytics — talk ratio, question counts, filler words.
  • CRM activity — logged on the contact, with suggested tasks and a drafted follow-up email.

It's manual — one call at a time — which makes it a "your most important calls" workflow rather than an "every call" one. For every-call automation, you need a notetaker whose API can feed us.

If you're on Otter Enterprise: talk to us

The pieces exist for a first-class Otter integration exactly like our Fireflies and Fathom ones: Otter's Enterprise API + webhooks can notify us when a transcript is ready, and we ingest, match the call to the right contact and rep, and run the full analysis automatically.

We build integrations against live accounts, not documentation alone — that discipline is why the two notetaker integrations we've shipped work the way the docs say they do. So if your team is on Otter Enterprise and wants automatic call analysis, reach out — we'll build and validate it with you as a design partner.

If you're not on Enterprise: your options, ranked

  1. Keep Otter, paste your key calls. The manual path above. Zero change, immediate coaching on the calls that matter.
  2. Run Fathom alongside or instead. Fathom's API works on every plan including Free, and its Salescadia integration is one click. Many teams run their existing notetaker for notes and let Fathom feed the analysis layer.
  3. Fireflies Business ($19/user/mo) if you want Fireflies' team admin features with API access — its Salescadia integration is live too.

The recorder is the commodity layer — transcripts are table stakes. The revenue questions live one layer up: is every call coached, does each meeting land on the right CRM contact, does the follow-up go out. Pick whichever recorder your team will actually keep on; we'll be the intelligence layer on top of it.

The one-paragraph summary

Otter Basic/Pro/Business: paste transcripts into Salescadia for per-call analysis today; no automatic feed is possible because Otter gates its API to Enterprise. Otter Enterprise: the API + webhooks exist in beta, and we're looking for a design partner to ship the automatic integration — email us. Anyone can also switch the feed to Fathom (free, one-click) or Fireflies (Business plan) and get every call analyzed automatically now.
